How Dental Clinics Track Lab Cases: Crowns, Bridges and Dentures Without the Phone Calls
The patient is in the chair for their crown fit. The crown is not. Somebody calls the lab, the lab says it left yesterday, the rider says he has not collected it. Every clinic that sends work to an outside lab knows this afternoon. Tracking lab cases properly is what makes it rare.
A busy clinic in Pakistan might have fifteen or twenty cases at outside labs at any time: a few PFM crowns, a zirconia bridge, two complete dentures, a night guard, maybe aligners. Each one has a patient waiting and an appointment booked around it. And in most clinics, the only record of where those cases are is a register, a WhatsApp group with the lab, and the receptionist's memory.
That works until the receptionist is on leave, or the lab changes riders, or two crowns for two patients named Ahmed come back in the same bag.
The real cost of untracked lab work
- Wasted appointments. The patient takes time off work for a fit and the work is not back.
- Lost cases. An impression sent and never followed up because nobody noticed it was overdue.
- Unpaid or overpaid labs. Without a cost per case, the lab bill at month end is accepted on trust.
- Invisible redos. A remake is quietly absorbed and nobody notices one lab has twice the redo rate of another.
What to record for every lab case
| Field | Example |
|---|---|
| Patient and tooth | Sana Tariq, 26 |
| Work type and material | Crown, zirconia, shade A2 |
| Lab | Your regular lab or a specialist lab |
| Sent date and due date | Sent 10 Oct, due 15 Oct |
| Status | Sent, in progress, received, delivered |
| Lab cost | Rs 9,000 |
| Instructions and notes | Margin details, shade notes |
| Linked treatment and appointment | Crown 26 on the plan, fit booked 16 Oct |
A simple status flow
- Impression pending: the treatment needs lab work but the impression or scan is not taken yet.
- Sent to lab: impression or scan dispatched, with a due date.
- In progress: the lab has started.
- Received: back at the clinic and checked.
- Delivered: fitted to the patient. Case closed.
Plus redo and cancelled for the exceptions. The point is that each step is dated, so "where is it" becomes a glance, and "how long does this lab take" becomes a number.
Let the lab update the status
The biggest time saver is not making the clinic chase the lab at all. A lab portal gives the outside lab its own login, showing only the cases sent to that lab. The lab marks a case in progress or dispatched, and the clinic sees it instantly. No calls, no WhatsApp voice notes asking "bhai crown ready hai?".
Due dates that protect appointments
A lab case due on the 15th with a fit booked on the 16th is fine. The same case still at the lab on the 15th is a warning. Seeing overdue and due soon cases on one list each morning lets the receptionist call the lab or move the appointment before the patient arrives, not after. Our guide to reducing no-shows covers the patient side of the same problem.
Lab costs, margins and doctor pay
Recording the lab cost on each case does three things. It shows the real margin on every crown and denture. It makes the monthly lab bill easy to check line by line. And for clinics that pay associate dentists a share after costs, it lets the compensation deduct lab costs automatically; see associate dentist compensation.
Clinic side vs lab side software
This guide is about tracking lab work from the clinic. If you run the lab itself, with production stages, technicians and batches, that is a different problem covered in dental lab management software and the digital dental laboratory guide. The two meet at the lab portal.
The bottom line
Lab work fails quietly: a missed due date, a case nobody chased, a redo nobody counted. Record every case from the treatment, date every status, link it to the appointment, let the lab update it, and record the cost. The crown is then there when the patient is.

Frequently asked questions
What does lab case tracking mean for a dental clinic?
It means every piece of work sent to a dental lab, crowns, bridges, dentures, aligners, night guards, is recorded with the patient, tooth, lab, sent date, due date, cost and current status, so the clinic always knows where it is without phoning anyone.
What statuses should a lab case go through?
A practical set is impression pending, sent to lab, in progress at the lab, received back at the clinic, delivered to the patient, with redo and cancelled for exceptions. Each change should be dated.
How do I stop booking a fit before the work is back?
Link the lab case to the treatment and the patient's next appointment, and look at the due date when booking. A case still at the lab the day before a fit appointment should be visible on a list, not discovered with the patient in the chair.
Can the lab update the status itself?
Yes, with a lab portal: a separate login for the outside lab that shows only the cases sent to that lab and lets them mark work as in progress or dispatched. The clinic sees the change immediately.
Should lab costs be recorded per case?
Yes. Recording the lab charge on each case shows the true margin of each crown or denture, makes paying the lab simple, and lets doctor compensation deduct lab costs where your agreements require it.
