Dental Software Buyer’s Checklist for Pakistan (2026): 10 Things to Demand
Most dental software in Pakistan looks the same on a feature list. The gaps only show up three months in, once your money and patients are inside it. Here are the ten things to demand before you commit, and the ones almost nobody asks about.
Buying dental software feels easy until it isn't. Every vendor shows you a tidy feature list, a nice dashboard and a friendly price. Then you move your clinic in, and the real questions start: why can't I see my actual profit, why is every WhatsApp message costing extra, why do I need a second tool for the lab. The problems were always there. They were just not on the brochure.
This checklist is built from those three-month-in regrets. Run a prospective system against all ten before you sign. If a salesperson gets vague on any of them, that vagueness is your answer.
1. Does it BOOK on WhatsApp, or just remind?
This is the big one for Pakistan, and it is where most systems quietly fall short. Sending an SMS reminder is table stakes. Pasting a message into WhatsApp is not automation. What you actually want is a WhatsApp booking chatbot that greets the patient, answers their questions, offers real open slots and books them, at 11pm on a Sunday, with no one at the front desk. Ask to see it book an appointment live. If it only reminds, it is not the same product.
2. Real accounting, or just billing?
Billing is invoices and payments. Accounting is a cash book, a profit and loss statement and a balance sheet. If you want to know whether the clinic made money this month without exporting to a spreadsheet, demand a proper accounting suite, not a totals screen.
3. Is the price transparent, in PKR, and total?
A published price in rupees is a good sign. A "contact us for a quote" is not automatically bad, but it makes comparison harder. Either way, add up the real total: base fee, plus per-message WhatsApp charges, plus paid add-ons for lab, payroll or extra users. The honest number is the all-in number. Our breakdown of dental software price in Pakistan walks through the traps.
4. Do you keep your own WhatsApp number?
If messages run through a reseller's number, you are renting your patient relationship and usually paying a markup on every message. Insist on your own number on the official WhatsApp Business API, so the history and the cost stay yours.
5. Is it built for dentistry, specifically?
FDI charting, phased treatment plans, per-tooth history and consent forms are not generic clinic features. A tool built for all medical specialities usually treats teeth as an afterthought. Look for dental depth, not just a dental logo.
6. Can it grow into orthodontics and lab work?
Even if you do not do aligners or send lab work today, you might in a year. Adding a second system later is painful. Ask whether aligner and orthodontic tracking and a dental lab workflow are built in, or bolted on for a fee.
7. Is it compliance-ready for Pakistan?
Punjab Healthcare Commission registers and inspection-ready records are not optional if an inspector walks in. Ask whether PHC compliance is built in, or whether you will be assembling registers by hand the night before.
8. Does it run on every screen your team uses?
Your reception is on a desktop, your assistant on a tablet, you on a phone. The software should feel native on all three, install like an app, and share one live diary. If it only really works on one device, the others will fight it.
9. Is your data isolated, encrypted and backed up?
Ask three blunt questions: is my clinic's data separated from every other clinic, is it encrypted, and is it backed up automatically. "The PC with our data died" should never be able to end your practice. Cloud, done properly, removes that risk, as we cover in why cloud dental software wins.
10. Can you leave with your records?
The best sign a vendor is confident is that they make leaving easy. Ask how you would export your patients if you ever switched. If the answer is awkward, you are looking at a trap, not a tool.
Score it honestly
Take the checklist into every demo and tick the boxes as you go. Most systems in Pakistan will clear the first three or four. The ones worth your money clear all ten: they book on WhatsApp by themselves, keep real books, publish their price, protect your data and let you leave. If you want to tick every box on this list in a single login, that is exactly what DentalPro is built to do. You can start a free 3-day trial, turn on the WhatsApp booking bot, and run it against your own checklist before you decide.
Frequently asked questions
What is the most overlooked feature when buying dental software in Pakistan?
A real WhatsApp booking chatbot. Almost every system sends SMS reminders or lets you paste a message into WhatsApp, but very few actually book the patient over WhatsApp on their own. In a country where patients enquire on WhatsApp first, a bot that answers and books after hours is the feature that quietly fills your diary. Ask specifically whether it books, or just reminds.
Does cheaper dental software cost more in the long run?
It can. A low monthly price often hides missing pieces: no real accounting, per-message charges on WhatsApp, paid add-ons for lab or payroll, or a number you rent from a middleman. Add those back and the "cheap" option is sometimes the expensive one. Judge the total, not the sticker.
Should dental software include accounting or just billing?
Billing records what a patient owes. Accounting tells you whether the clinic made money. They are not the same. If you want to stop handing a shoebox to an accountant every month, insist on a real double-entry suite: cash book, profit and loss and a balance sheet, not just invoice totals.
Why does using my own WhatsApp number matter?
If the software routes messages through a reseller number, you are renting your own patient relationship and often paying a margin on every message. Using your own number on the official WhatsApp Business API keeps the relationship, the history and the cost under your control.
